Job Overview

One of the leading firms in landscape design and installation is seeking an Office Administration Specialist to support its construction division.

Key Responsibilities
  • Manage incoming calls, take messages, and delegate tasks appropriately.
  • Provide assistance to clients and customers.
  • Maintain organized filing systems and recordkeeping.
  • Prepare job setups including cost codes and payroll codes, ensuring proper linkage to customers and jobs in the accounting system.
  • Collect and organize vendor pricing information.
  • Keep vendor files updated, including tracking open and settled invoices.
  • Process vendor invoices accurately.
  • Reconcile vendor statements to ensure accuracy.
  • Identify and retrieve missing invoices as needed.
  • Review and reconcile credit card statements.
  • Perform data entry tasks efficiently.
  • Examine timesheets for discrepancies and coordinate resolutions with management.
  • Request and document Dig-Safe tickets, including recording numbers and start dates.
  • Conduct necessary research as required.
  • Assist with additional tasks as directed to support the team and enhance company operations.
Qualifications
  • Relevant education and experience in a similar role.
  • Proficient in basic computer applications and technology.
  • Experience with QuickBooks is preferred.
  • Familiarity with landscape industry-specific software, such as LMN, is advantageous.
  • Ability to represent the company professionally in all forms of communication.
  • Strong verbal and written communication skills are essential.
  • Experience in accounts payable and invoice processing is preferred.
  • Background in a construction office or similar environment is beneficial.
