Position Overview

Business Resources One is seeking an Office Administration Specialist to join our dynamic team. This role is essential in supporting our construction division and ensuring smooth operational processes.

Key Responsibilities
  • Manage incoming calls, take detailed messages, and delegate tasks effectively.
  • Provide assistance to clients and customers, ensuring their needs are met.
  • Maintain organized filing systems and accurate recordkeeping.
  • Prepare job setups, including cost and payroll codes, and link them to the appropriate customer and project in our accounting software.
  • Gather and organize vendor pricing information.
  • Oversee vendor documentation, including tracking open and settled invoices.
  • Input vendor invoices into the system.
  • Perform reconciliation of vendor statements.
  • Identify and obtain any missing invoices.
  • Reconcile credit card transactions.
  • Conduct data entry tasks as required.
  • Review employee timesheets for accuracy and address discrepancies with management.
  • Obtain and document Dig-Safe tickets, including recording relevant numbers and start dates.
  • Conduct research as needed to support various projects.
  • Assist with additional tasks as necessary to support the team and contribute to the company's success.
Qualifications
  • Relevant education and experience in administrative support.
  • Proficient in basic computer applications and technology.
  • Experience with QuickBooks is preferred.
  • Familiarity with landscape industry-specific software, such as LMN, is a plus.
  • Ability to represent the company professionally in all communications.
  • Strong verbal and written communication skills.
  • Experience with accounts payable and invoice management is advantageous.
  • Prior experience in a construction office or similar environment is preferred.
