Planned Parenthood Federation of America (PPFA) operates as a 501(c)(3) charitable organization, supporting independently incorporated Planned Parenthood affiliates that manage health centers nationwide. The Planned Parenthood Action Fund functions as a nonpartisan, not-for-profit membership organization, serving as the advocacy and political arm of PPFA. The Action Fund is engaged in educational initiatives, advocacy efforts, and electoral activities, which include grassroots organizing, legislative advocacy, and voter education.

Position Overview:

PPFA is in search of a strategic systems architect with extensive project management expertise. This role reports directly to the Director of Operating Strategy within the Office of the Senior Vice President, focusing on Policy, Campaigns, and Advocacy Division. The Office is responsible for steering the operational strategy of PCA, overseeing shared services, and enhancing our focus on personnel, processes, budgeting, and product delivery.

Key Responsibilities:

Financial Accountability and Operations

  • Manage expenses for the PCA Senior Leadership Team.
  • Develop and maintain systems to monitor accountability metrics across the division, including key performance indicators and progress reports.
  • Oversee financial operations and real-time budget tracking for the Office of the Senior Vice President, including contract agreements and payment processing.
  • Collaborate with the Managing Director to implement PCA's budgetary processes on a quarterly and annual basis.
  • Act as a liaison between the Finance Division and PCA, ensuring financial governance and processes are effectively in place.
  • Assist PCA leaders with ad hoc budgetary inquiries.

Project Management of PCA Priorities

  • Oversee PCA's professional development program, including budget management and communications.
  • In partnership with the Director of Operating Strategy, assess existing departmental systems to identify and create new processes aimed at reducing burnout and inefficiencies.
  • Provide project management support for high-priority advocacy campaigns as needed.
  • Manage budget and facilitate successful execution of PCA events to foster community and connection within the division.
  • Support additional initiatives and projects as directed by the Director of Operating Strategy and Managing Director.

Engagement and Collaboration:

  • Support administrative needs for PCA senior leaders, particularly regarding expenses.
  • Enhance divisional processes through thorough analysis and collaboration, aiming to improve operational efficiency.
  • Promote cross-departmental coordination throughout the PCA division.
  • Work with affiliates, external partners, and administrative staff to optimize PCA's operational strategy.
  • Collaborate with OSVP leaders, leveraging expertise in project and systems management.

Qualifications:

  • Bachelor's degree preferred.
  • 5+ years of relevant professional experience.
  • Experience in project management or consulting is preferred.
  • Proficiency in budget management is preferred.
  • Experience supporting senior or executive leaders with complex schedules.
  • Strong discretion and confidentiality; excellent interpersonal skills.
  • Ability to adapt priorities as necessary while maintaining flexibility and collaboration.
  • Proactive problem-solving skills and the ability to anticipate needs.
  • Exceptional communication skills to navigate a complex organizational landscape.

Travel Requirements: Minimal domestic travel (0-5%).
