Job Overview

POSITION SUMMARY: Under the guidance of the Chief Financial Officer (CFO), the Revenue Cycle Manager is tasked with overseeing the billing team and ensuring the seamless operation of all billing department functions. This role collaborates closely with the CFO to guarantee the accuracy and proper execution of all billing activities.

KEY RESPONSIBILITIES:
  1. Manage daily operations of the billing department, including accounts receivables and credentialing processes.
  2. Supervise billing clerks, leads, accounts receivable specialists, and the credentialing coordinator, conducting performance evaluations and recommending career development opportunities.
  3. Monitor patient accounts receivable aging; regularly review aging reports and key performance indicators (KPIs) with billing staff to meet aging targets and suggest improvements based on observed trends.
  4. Assess billing discrepancies and provide updates and training suggestions to the CFO and billing leads.
  5. Conduct regular meetings with the CFO to present updates and recommendations regarding departmental performance.
  6. Analyze and uphold billing procedures and accounts receivable processes to ensure compliance with fiscal policies.
  7. Evaluate and maintain efficient accounts receivable workflows to meet the agency's operational needs.
  8. Oversee the credentialing coordinator's tasks, workflows, and deadlines to ensure agency requirements are fulfilled.
  9. Facilitate regular meetings with billing staff to discuss procedural updates and health insurance billing changes.
  10. Conduct monthly one-on-one meetings with billing clerks, leads, accounts receivable specialists, and credentialing coordinators to review workflows, objectives, and professional development.
  11. Prepare and analyze various departmental data reports to evaluate billing functions, accounts receivables, and credentialing status, making recommendations to the CFO as necessary.
  12. Maintain open lines of communication within the billing department and ensure awareness of all billing activities.
  13. Foster interdepartmental communication regarding billing-related matters.
  14. Analyze workflows and provide recommendations to the CFO for necessary improvements.
  15. Offer training and support to revenue cycle staff to ensure billing accuracy and efficiency.
  16. Collaborate with the Data Services department and Systems to comply with reporting and billing requirements.
  17. Oversee daily interdepartmental activities related to the revenue cycle.
  18. Attend, lead, and/or facilitate interdepartmental meetings to enhance workflows across all departments involved in the revenue cycle.
  19. Create and update training materials and documentation related to billing for interdepartmental training sessions.
  20. Evaluate interdepartmental workflows and provide recommendations to the appropriate committee.
  21. Monitor compliance with coding and billing across all interdepartmental functions, services, supplies, medications, and other revenue cycle areas.
  22. Review requests for new and existing coding and pricing for current programs/services.
  23. Assist in training new and existing clinical providers.
  24. Ensure a productive work environment and achievement of goals through effective communication strategies.
  25. Respond to co-worker and patient needs in a helpful and supportive manner.
  26. Perform various office support and clerical duties as required.
  27. Carry out additional duties as assigned.
QUALIFICATIONS:

Knowledge: Familiarity with basic and computerized billing procedures, particularly in relation to insurance billing and state and federal programs; proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.

Skills: Ability to accurately perform basic math; prepare comprehensive reports; develop and draft new policies and procedures; organize work efficiently while exercising sound independent judgment; think critically and analytically; utilize various standard office and computer equipment; communicate effectively and respectfully with a diverse range of individuals and clients, demonstrating awareness and sensitivity to their needs; cultivate and maintain effective working relationships with staff, patients, health insurance companies, government representatives, and the public; manage billing personnel effectively.

MINIMUM REQUIREMENTS:
  • Bachelor's Degree in business administration or a health-related field, or a minimum of 5 years of experience in financial operations related to billing and revenue collection for medical or health services.
  • At least two years of experience with state programs and regulations, including MediCal, Medicare, Child Health Disability Program (CHDP), Family Pact, and Healthy Families.
  • A minimum of two years of supervisory experience.
  • One year of experience with standard ICD-10 medical and dental coding, with experience occurring within the last two years.
PREFERRED QUALIFICATIONS:
  • Bilingual in Spanish and English.
PHYSICAL REQUIREMENTS:
  • Ability to stand, walk, sit, type, reach, bend, move, and/or lift up to 25 pounds.
SALARY & BENEFITS:
  • Salary range: $87,000 - $106,647.20.
  • Benefits include medical, dental, vision, and life insurance, voluntary long-term disability, 401(k) with employer contribution, holiday pay, and paid time off.
