File Management Specialist

This is a temporary position.
Status: Temporary, Part Time Hourly FLSA Classification: Non-Exempt
We are seeking a highly organized and detail-oriented individual to perform file management, maintenance, and storage for our office. The ideal candidate will organize files according to our filing system, digitize essential documents, and ensure they are easily accessible to colleagues.
Responsibilities:
- Upload digital files and data.
- Organize records and documents.
- Create or update records with new files and information.
- Use alphabetical and numerical systems to organize paper and electronic records documents.
- Create new files and provide needed information on forms and reports.
- Scan paper documents and verify that scanned documents are clear and legible.
- Discard documents when required in accordance with official policies and procedures.
- Operate office equipment.
- Look for ways to improve filing systems and design forms and templates for data entry.
- Work with outside storage vendors to ensure safe archiving of documents.
- Follow policies to secure and protect the privacy of documents.
Qualifications/Requirements:
- High school degree or GED and 2 years of experience.
- Proven experience as a file clerk.
- Very good knowledge of MS Office and office equipment such as photocopiers and scanners.
- Good command of English, both oral and written.
- Dependable with a respect to confidentiality and policies.
- Excellent organizational skills.
- Excellent time management skills.
- Great attention to detail.
- Knowledge of off-site storage procedures a plus.
- Ability to lift heavy boxes at a maximum of 30 pounds.
