Key Responsibilities
  • Quoting and Reporting: Accurately record, report, and follow standard procedures for quoting and billing customers.

  • Shop and Tool Inspections: Conduct regular inspections of the service shop and tools to ensure they are in good working condition and meet company standards.
  • Service Scheduling: Coordinate with technicians and other departments to ensure efficient scheduling and allocation of resources.
  • Customer Communication: Provide clear and concise explanations of factory service and maintenance schedules to customers, addressing any concerns or questions they may have.
  • Performance Evaluation: Periodically evaluate the performance of the service department against company plans and goals, identifying areas for improvement and implementing changes as needed.
  • Parts and Inventory Management: Work closely with parts personnel to ensure proper procedures, records, and reports are in place for parts used in service, and communicate effectively with customers and technicians regarding parts availability and delivery.
  • Vehicle Maintenance: Recommend the purchase of service vehicles, maintain the fleet, and supervise the efficient use of vehicles in the performance of service work.
  • Administrative Duties: Prepare reports, estimates, and forecasts, maintain warranty records, and initiate campaigns to increase profit in the service department.
  • Team Leadership: Oversee a team of 3-5 service technicians, providing guidance, support, and coaching to ensure they have the resources and training needed to excel in their roles.
  • Financial Management: Complete paperwork related to billing and warranty, ensuring accurate and timely processing of financial transactions.
Requirements
  • Experience: Service advisor or warranty administrator experience is preferred.
  • Technical Skills: Ability to use multiple software programs and toggle between windows is a must.
  • Communication and Interpersonal Skills: Must have the ability to work effectively with manufacturers, vendors, customers, and technicians.
  • Leadership and Management Skills: The qualified candidate will demonstrate an ability to manage service operations, scheduling, logistics, and communications.
