We are seeking a dedicated Operations Support Specialist to enhance our construction office team. This full-time position offers a range of benefits and the opportunity to contribute to our mission of providing exceptional utility services.

Key Responsibilities
  • Timesheet Management: Ensure accuracy in payroll and equipment hours by updating and reviewing timesheets entered by field personnel.
  • Billing Coordination: Manage weekly invoicing for time and materials work, ensuring all documentation is complete and accurate.
  • Crew Documentation: Maintain and distribute daily logs of crew locations to facilitate effective communication.
  • Absence Monitoring: Track field personnel absences and overtime, ensuring proper coding for reporting purposes.
  • Material Invoicing: Identify and process invoices for billable materials related to time and materials contracts.
  • Utility Management: Coordinate with field supervisors to secure necessary site utilities.
  • Resource Tracking: Assist in maintaining manpower reports and conduct weekly audits of equipment utilization.
  • General Administrative Support: Provide assistance to division staff with daily operations and maintain organized division files.
Qualifications
  • High School diploma or equivalent required.
  • Proven office experience with proficiency in Microsoft Office applications.
  • Familiarity with ERP and accounting software, with a willingness to learn new systems.
  • Strong attention to detail and exceptional organizational skills.
  • Ability to multitask and communicate effectively across various levels of the organization.
  • Team-oriented mindset with a proactive approach to problem-solving.
  • Experience in building effective relationships with stakeholders.
