Position Overview

Role Summary
This role collaborates closely with the Budget Manager to oversee the daily financial operations associated with the Agricultural Research program, which operates with a budget nearing $18 million. Key responsibilities encompass reviewing and sanctioning expenditure requests for payroll, travel, equipment, supplies, and services; documenting financial transactions in a comprehensive Excel ledger for over 30 research initiatives; and ensuring reconciliation of expenditures with the University's accounting system.

Through our Agricultural Research Program and Cooperative Extension Program, we tackle pressing issues relevant to North Carolina and extend research-based training to communities globally.

Work Schedule
Monday to Friday, 8:00 AM to 5:00 PM

Key Responsibilities

Financial Management
• Oversee defined purchasing and accounting functions for the Agricultural Research program.
• Utilize Aggie-Mart, Chrome River, Banner, MS Excel, and other technologies to monitor procurement, reconcile accounts, and maintain expenditure records related to federal, state, and discretionary funds.
• Review and analyze information to track purchasing order status and monitor vendor payments.
• Conduct data analysis for accuracy to identify and resolve discrepancies.
• Perform research and data collection to generate reports for management.
• Maintain the department's Excel financial transactions database, ensuring its accuracy and currency.
• Safeguard sensitive employment-related information.
• Provide quarterly financial reports to Principal Investigators (PIs).

Program Knowledge
• Acquire and maintain expertise in the Evans-Allen grant program, along with state and university policies and procedures.
• Review and approve all expenses to ensure alignment with the approved budget and adherence to spending limits.
• Independently compile, analyze, and present information in various formats, ensuring content accuracy and quality.

Financial Oversight
• Record all financial transactions in the internal ledgers of Agricultural Research.
• Review and scrutinize information in the Banner Finance and Aggie Mart systems, alerting the Budget Manager to any necessary adjustments or budget revisions.
• Conduct independent research and apply sound judgment to resolve issues related to assigned tasks.
• Assist PIs with project close-outs by ensuring all invoices are settled.
• Exercise discretion and sound judgment in collaborating with various departments to resolve issues related to accurate expense processing and payment for multiple grant projects.

Communication Skills
• Communicate effectively and professionally with PIs, administrative support staff, Human Resources, Business and Finance, and Contracts and Grants on a daily basis.
• Interpret guidelines, respond to inquiries, and advise others regarding processes and operations.
• Utilize professional writing skills to draft memos and emails to various stakeholders.
• Engage with vendors regarding the procurement of goods and services as necessary.
• Provide staff with updated purchasing guidelines and procedures through workshops or individual consultations.
