Job Description

The Office Support Supervisor will be responsible for overseeing and managing general office functions, including payroll, accounts payable, accounts receivable, sales reporting, inventory, and operating statements. This role will also involve supervising day-to-day data collection and completing basic accounting reports.

Key Responsibilities
  • Office Operations Management: Analyze and coordinate office operations and procedures, including typing, accounts payable, accounts receivable, payroll, flow of correspondence, filing, requisition of supplies, and other clerical services.
  • Process Improvement: Evaluate office production, revise procedures, or devise new forms to improve efficiency of workflow.
  • Correspondence Management: Establish uniform correspondence procedures.
  • Record Management: Formulate procedures for detailed retention, protection, retrieval, transfer, and disposal of records.
  • Clerical and Personnel Records: Review clerical and personnel records to ensure completeness, accuracy, and timeliness.
  • Reporting and Analysis: Prepare activities reports for mentorship of management, using computer.
  • Department Coordination: Coordinate activities of various clerical departments or workers with department.
  • Financial Management: Assist unit management in the preparation of organizational invoices and monthly financial and other accounting responsibilities as needed.
  • IT Support: May compile, store, and retrieve managerial data, using computer. Help coordinate and supervise meetings within the office.
  • Inventory Management: Responsible for maintaining inventory for office supplies and stocking daily.
  • IT Troubleshooting: Responsible for being the point person in the office for resolution to IT glitches and outages that effect the entire office.
  • Facilities Management: Responsible for ensuring office is well maintained and being tended to accurately by maintenance and janitorial staff.
Requirements
  • Critical Thinking: Use logical thinking to perform a variety of office tasks that require special skills and knowledge.
  • Decision Making: Make decisions based on company policy and good judgment.
  • Independence: Follow instructions without close supervision.
  • Communication: Speak and write clearly and accurately.
  • Planning: Plan your own work and sometimes the work of others.
  • Technical Skills: Proficient with all Microsoft Applications.
  • Accounting Skills: Requires basic accounting skills.
  • Language Skills: Must have developed language skills to the point to be able to: Write announcements, letters, summaries, and reports, using prescribed format.
  • Experience: Minimum 2 years experience preferred 4 years experience.
