About the Role

We are seeking a highly skilled Air Export Agent I to join our team at AIT Worldwide Logistics. As a key member of our operations team, you will be responsible for coordinating the day-to-day export of international freight forwarding shipments into and out of the USA across all modes of international transportation based on customer requests.

Key Responsibilities
  • Receive and validate customer orders, ensuring all necessary documentation is complete and accurate.
  • Identify the best routing and transit options for each customer request, taking into account factors such as cost, time, and regulatory requirements.
  • Anticipate and secure quotations from vendors for all potential order costs, ensuring transparency and accuracy.
  • Issue customer or overseas office/agent quotations and confirm acceptance, maintaining open communication throughout the process.
  • Perform TSA Known Shipper Checks and secure bookings from airlines, ensuring timely and efficient transportation.
  • Dispatch inland carriage with subcontractors as needed, managing logistics and coordinating with vendors.
  • Accrue all costs in CargoWise and perform initial profitability checks, ensuring accurate financial reporting.
  • Issue customer booking confirmations and confirm timely delivery/receipt of cargo, updating system milestones as necessary.
  • Receive and validate customer documents, ensuring compliance with regulatory requirements.
  • File AES data elements in writing from USPPI (if applicable) and perform AES filing according to USPPI instructions.
  • Receive and validate master air waybills, tracking and confirming flight departures and updating system milestones.
  • Issue AIT House air waybills according to customer and destination requirements, uploading all documents to edocs in CargoWise.
  • Send pre-alerts to overseas offices/agents and confirm final costs, ensuring all are accrued and final profitability checks are complete.
  • Issue invoices to customers/overseas offices as required, distributing documents as per shipper requirements/SOP.
  • Manage customer reporting and/or additional system milestones as required, ensuring seamless communication and coordination.
Requirements
  • A team player with a strong work ethic, able to work independently and take ownership of tasks.
  • Excellent communication and interpersonal skills, with the ability to build relationships with customers and colleagues.
  • Basic math and geography skills, with the ability to analyze numerical data and understand components, relationships, and patterns.
  • Ability to learn and adapt to new systems and processes, including CargoWise and freight movement.
  • Basic knowledge of country regulations and AIT policies/procedures, with the ability to minimize risks to customers and the company.
  • Ability to add, subtract, multiply, and divide using units of currency, weight, volume, and distance measurements.
  • Ability to read, analyze, and interpret verbal and written requests/directions, with effective communication and presentation skills.
  • Time management skills, with the ability to meet customer deadlines in a fast-paced, high-volume work environment.
