Job Summary

We are seeking a highly skilled and experienced Affordable Housing Program Manager to join our team at FPI Management, Inc. As a key member of our property management team, you will be responsible for assisting the Community Director in the day-to-day operations of our multifamily properties.

Key Responsibilities
  • Client Relations
    • Develop and maintain strong relationships with clients, vendors, and residents to ensure excellent customer service and satisfaction.
  • Communication
    • Effectively communicate with residents, vendors, and clients through various channels, including email, phone, and in-person interactions.
    • Keep immediate supervisor informed of work progress, including present and potential work problems and suggestions for new or improved ways of addressing such problems.
  • Employee Management
    • Assist in the supervision of on-site staff, including Resident Services Coordinators, Compliance Specialists, Leasing Managers, and Maintenance Technicians.
    • Responsible for training and onboarding of new leasing team members.
  • Leasing and Occupancy
    • Maintain occupancy levels as established by owner/budget expectations.
    • Exhibit professional leasing techniques to attract and retain residents.
    • Assist with the completion of monthly market surveys and analysis.
    • Implement advertising and marketing strategies for the apartment community as needed.
    • Exhibit closing ratios in regards to phone and walk-in traffic per FPI policy.
    • Ensure that all online marketing sources are updated daily.
    • Promote positive resident/management relations to retain desirable residents.
    • Assist with the implementation of resident retention programs.
    • Ensure the safety, comfort, and privacy of all property residents.
    • Ensure move-in orientation is completed consistently with new residents.
  • Revenue Management
    • Assist the Community Director in maximizing revenue potential of the property through the management of lease expirations and timely turnover.
    • Assist the Community Director with the management of monthly rent collections and delinquency, including timely deposit and security of funds according to FPI policies.
    • Accurately process vendor invoices and manage accounting month-end.
  • Reporting and Document Management
    • Maintain appropriate resident files, including forms, leases, and documents, in accordance with FPI Standard Operating Procedures.
    • Responsible for the daily integrity and confidentiality of resident files.
    • Ensure that documents and reporting systems are maintained, updated, and organized.
    • Meet all periodic reporting requirements as requested/required, including month-end, weekly reports, collection/eviction files, etc.
    • Assist in budget preparation and delivery.
  • Risk Management
    • Ensure compliance with risk management items through the following of FPI Standard Operating Procedures.
    • Report timely any/all injuries, illnesses, property damage through the proper reporting channels and forms.
    • React calmly and professionally in emergency, emotional, and/or stressful situations.
  • Facility Maintenance
    • Assist residents with reporting of maintenance needs.
    • Document facility and maintenance needs and ensure timely completion.
    • Ongoing monitoring of the physical asset and identifying concerns with immediate supervisor.
    • Follow up on maintenance requests to promote resident communication and satisfaction.
  • Other
    • Consistently and fairly enforce community rules and regulations, FPI Standard Operating Procedures.
    • Comply with all Fair Housing Laws and FPI policies and procedures.
    • Promote a professional image by adhering to FPI Management's Dress Code Policy.
    • Conduct displayed must be of a professional manner when communicating with employees, residents, prospective residents, clients, vendors, and guests while representing FPI Management.
    • Responsible for meeting all training requirements for the position, including Grace Hill, Safety Meetings, etc.
    • Perform any and all functions as directed by the supervisor, including special project assistance.
Requirements
  • Must have experience in affordable housing programs, including but not limited to: LIHTC, HUD programs (Project Based Section 8, Section 236, PRAC, 811 PRA), USDA-Rural Development (515), HCD, HOME Funds and Bonds.
  • Minimum 1 year of experience in a similar supervisory role, preferably within Residential Property Management.
  • High School diploma or equivalency certificate required. College degree in a relatable field preferred, but not required.
  • Valid Driver's License, a good driving record, current motor vehicle insurance which meets State requirements, and an operable vehicle that meets FPI's Driving Standards and Personal Vehicle Use policy.
  • Must be proficient in speaking, reading, and writing in English.
  • Strong computer skills (MS Office, Google Apps, property management-related software, email, internet).
