The Healthcare Administrative Coordinator plays a vital role in managing patient interactions, including check-in, check-out, and telephone reception duties, serving as the initial point of contact for patient appointments.

Customer Service Excellence

  • Uphold a professional, courteous, and positive demeanor in all patient interactions.
  • Conduct check-in and check-out processes, along with phone reception responsibilities.
  • Verify insurance eligibility and collect copayments or outstanding balances.
  • Schedule follow-up appointments efficiently.
  • Secure prior authorizations, referrals, and appointments for specialized care and testing.
  • Reconcile daily batches and global processing tasks.
  • Answer phone calls, assisting patients or directing calls to the appropriate department.

  • Provide assistance as needed to team members.

Qualifications:

  • High school diploma or GED required; post-secondary education preferred.
  • A minimum of one year of relevant work experience is required.
  • Additional training in office systems is preferred.

Required Skills, Abilities, and Competencies:

  • Familiarity with practice operations and standards.
  • Understanding of office procedures, including filing, copying, scanning, printing, and faxing.
  • Ability to operate a phone system, answer routine questions, and provide standard information.
  • Capability to interpret information appropriately and communicate professionally and courteously.
  • Ability to manage work processes in an organized manner and sort documents effectively.
  • Skill in managing multiple tasks efficiently while adhering to established protocols.
  • Proficiency in written communication, including emails and memos, with accurate message-taking abilities.
  • Basic typing and data entry skills.
  • Understanding of the importance of related forms and their appropriate use.
  • Basic knowledge of medical terminology and insurance types.
  • Awareness of registration and financial information.
  • Compliance with all relevant hospital, state, and federal regulations, including policies and procedures related to The Joint Commission and HIPAA.

Working Conditions:

This position is based in a hospital ambulatory practice environment, where exposure to communicable diseases, unpleasant odors, needles, and blood products may occur.
