Position: Executive Administrative Coordinator at Native Directions Inc

The Executive Administrative Coordinator position at Native Directions Inc is essential for delivering thorough administrative assistance to the leadership team, facilitating seamless and effective operations within the organization.

  • This role will be pivotal in overseeing schedules, organizing meetings and events, managing correspondence, and aiding in special projects and initiatives.
PREFERENCE FOR NATIVE APPLICANTS

Preference in hiring is extended to the most qualified candidate based on specific criteria. When candidates for an open position possess equal qualifications, preference will be given to Native American candidates in accordance with a structured order of preference.

Key Duties:
  • Schedule Management: Effectively oversee executive schedules, arranging appointments, meetings, and coordinating travel logistics.
  • Meeting Organization: Prepare materials for meetings, manage logistics for both internal and external gatherings, and document meeting minutes.
  • Communication Oversight: Filter incoming calls, emails, and correspondence for the executive team, addressing inquiries with discretion.
  • Document Creation: Compose and format documents, reports, and correspondence for the executive team, ensuring professionalism and precision.
  • Project Assistance: Offer administrative support for special projects, conducting research and liaising with stakeholders.
  • Relationship Building: Foster and maintain positive working relationships with both internal and external contacts.
  • Office Administration: Assist with general office responsibilities, including supply ordering and mail management.
  • Executive Assistance: Provide ad hoc support to executives as required, assisting with various administrative tasks.
Desired Qualifications:
  • AA/ Bachelor's degree or equivalent experience in business administration or a related field.
  • A minimum of 5 years of experience in executive support or office administration.
  • Strong organizational and time management capabilities.
  • Exceptional communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and scheduling tools.
  • Detail-oriented with a high degree of accuracy.
  • Ability to maintain confidentiality and manage sensitive information.
  • Proactive and resourceful with a solutions-focused mindset.
  • Commitment to social justice and equity principles.
  • Experience or knowledge of working with Native American communities is advantageous.
