Job Overview

The Dracaena Centre is in search of a meticulous and systematic Office Coordinator to enhance our team. In this role, you will be integral to the smooth functioning of our daily operations and will ensure that administrative tasks are executed efficiently.

Your primary duties will encompass managing schedules, organizing meetings and appointments, maintaining both physical and digital filing systems, and performing general office responsibilities such as handling phone inquiries and managing email correspondence. Additionally, you will oversee the inventory of office supplies and equipment, arrange travel logistics, and assist with financial tracking and expense documentation.

The ideal candidate will possess exceptional organizational and multitasking abilities, enabling them to prioritize effectively and adhere to deadlines. Strong written and verbal communication skills are essential, as you will engage with colleagues, clients, and external stakeholders. Proficiency in Microsoft Office Suite and other relevant software is a prerequisite.

Key Responsibilities
  • Manage schedules, coordinate meetings, and organize appointments.
  • Maintain and organize both physical and digital files and documents.
  • Handle phone inquiries and manage email correspondence, directing inquiries as necessary.
  • Assist with financial tracking and prepare expense reports.
  • Oversee the inventory of office supplies and equipment, placing orders as required.
  • Coordinate travel arrangements and accommodations for team members.
  • Prepare materials for meetings and presentations.
  • Perform general office tasks, including photocopying, printing, and mailing documents.

Qualifications

  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • Demonstrated experience as an administrative assistant or in a comparable role.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to prioritize tasks and work effectively under pressure.
  • Attention to detail and commitment to accuracy.
  • Capacity to maintain confidentiality and professionalism.
