Position Title: Accounting Assistant – Finance Specialist 5

Department: Finance

Reporting To: Comptroller

FLSA Status: Non-Exempt

SUMMARY: This role involves assisting in the oversight and management of financial operations for the Tribe, which encompasses budgeting, accounting, auditing, and financial assessment. The individual will contribute to the formulation of financial policies and procedures while ensuring adherence to established guidelines. The position also entails providing support to accounting personnel with reconciliations, journal entries, fixed assets, and related financial tasks, ensuring compliance with Generally Accepted Accounting Principles (GAAP).

KEY RESPONSIBILITIES:

  • Evaluate the accounting system and financial activities of the Tribe, offering guidance and support to financial staff.
  • Analyze financial data for trends or discrepancies and prepare comprehensive reports for management review.
  • Assist financial personnel in verifying the accuracy and compliance of systems and operations.
  • Help coordinate, monitor, and validate General Ledger Balance Sheet account balances, including reconciling assigned GL accounts.
  • Provide assistance to tribal departments in analyzing revenue and expense items related to their programs.
  • Contribute to the preparation and posting of journal entries for various financial transactions, including banking, payroll, revenue matching, and other activities as required.
  • Support the reconciliation of general ledger accounts, bank statements, and long-term debt balances.
  • Assist in the management and oversight of the Tribe's insurance policies for property and liability.
  • Maintain records of fixed assets, capital asset files, depreciation, and disposal as necessary, coordinating year-end physical inventory.
  • Participate in year-end audits.
  • Perform additional tasks as assigned.

SUPERVISORY RESPONSIBILITIES: This position does not have supervisory responsibilities.

QUALIFICATIONS: To excel in this role, candidates must effectively perform each essential duty. The following qualifications are essential:

  • Excellent written and verbal communication skills.
  • In-depth knowledge of Governmental GAAP and Fund Accounting.
  • Proficient computer skills, including integrated accounting software, Excel, and Word.
  • Self-motivated and detail-oriented with strong work ethics and teamwork capabilities.
  • Ability to handle confidential information with sensitivity.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.

LANGUAGE SKILLS: Proficient in reading, analyzing, and interpreting business publications, professional journals, technical procedures, or governmental regulations. Capable of writing reports, business correspondence, and procedural manuals, and effectively presenting information to various audiences.

MATHEMATICAL SKILLS: Competent in working with mathematical concepts, including probability, statistical inference, and geometry. Able to apply concepts such as fractions, percentages, ratios, and proportions to practical scenarios.

REASONING ABILITY: Skilled in defining problems, collecting data, establishing facts, and drawing valid conclusions. Capable of interpreting a variety of technical instructions in mathematical or diagram form.

CERTIFICATES, LICENSES, REGISTRATIONS: Candidates must complete a basic accounting test with a passing score and provide transcripts evidencing accounting coursework.

PHYSICAL DEMANDS: The physical demands of this role require the ability to sit, use hands for various tasks, and communicate effectively. Occasional lifting of up to twenty-five pounds may be necessary.

WORK ENVIRONMENT: The work environment is typical of an office setting, with occasional exposure to mechanical parts and moderate noise levels.

DRUG FREE WORKPLACE: Candidates will undergo drug and alcohol screening in accordance with the Tribe's policy.

INDIAN PREFERENCE: Indian Preference will be exercised in hiring for this position, consistent with the Tribe's Personnel Policies.
