Job Summary

This position is responsible for daily operational oversight and supervision of Primary Care staff in order to ensure the highest level of compliance and quality care is provided.

Key Responsibilities
  • Ensures daily activities are being assigned, monitored, scheduled, and coordinated across the team.
  • Ensures the highest quality of care is provided and in compliance with established policies and procedures and federal, state, and local regulatory requirements.
  • Assesses hardware and software functionality. Works with leadership, IS and/or vendors to resolve any issues.
  • Leads, facilitates and participates in meetings or huddles, prepares agendas and distributes meeting minutes.
  • Monitors and approves overtime, administrative and medical expenses to ensure adherence to budget.
  • Ensures the maintenance of clinical records by routinely auditing to assure accuracy, completeness and compliance with policies and procedures, regulatory requirements and standards including HIPAA.
  • Communicates with marketing personnel regarding patient issues that arise that may affect referral source relationships.
  • Conducts regular chart audits to ensure policies and procedures are followed. Holds staff accountable for correcting issues identified.
  • Consults with Primary Care Director and Primary Care Medical Director on medical issues and administrative responsibilities including QAPI and compliance.
  • Maintains appropriate staffing levels. This includes managing time off requests, arranging coverage, maintaining the provider PTO calendar and ensuring that all on-call shifts are covered and communicated to other departments as needed.
  • Provides administrative call coverage over the lunch hour and staff meetings as identified.
  • Collaborates with Primary Care Medical director to evaluate provider territories and panel size. Completes patient transfer process and coordinates with schedulers to update patient charts.
  • Attend weekly scheduler/PCP meetings and huddles.
  • Investigates issues that arise during on-call shifts including but not limited to monitoring of Answering Service call portal.
  • Investigates, resolves, and documents patient/family/vendor concerns/complaints.
  • Monitors completion of competencies and mandatory trainings to ensure regulatory requirements are met and quality care is maintained. Takes appropriate corrective action if needed.
  • Monitors provider productivity and quality metrics to ensure that expectations are being met. Provides coaching and feedback when productivity is not met.
  • Works with Primary Care leaders to address any barriers in scheduling and quality or clinical concerns
  • Supervises staff in performance of their clinical duties including, but not limited to, initiation, implementation, and monitoring of care plans, documentation, patient and caregiver education, symptom management.
Requirements
  • Minimum 4 years experience in a primary care setting
  • Valid drivers license, acceptable driving record and automobile liability coverage or access to an insured vehicle
Preferred Qualifications
  • Minimum 1 year experience in a supervisory or lead position or completion of CareOregons Aspiring Leaders Program; lead roles preferably include regular assistance to a manager or supervisor in staff hiring, coaching, performance evaluation, and other supervisory tasks
