Key Responsibilities

As the Senior Administrative Coordinator, your role will encompass a variety of tasks including:
  • Arranging intricate travel logistics, ensuring compliance with passport and visa regulations.
  • Managing a dynamic calendar, demonstrating adaptability and problem-solving skills to accommodate last-minute changes.
  • Coordinating meetings and conference calls across various organizational levels.
  • Preparing and submitting expense reports efficiently.
  • Facilitating team meetings and conferences, including registration processes.
  • Performing general administrative tasks such as managing office supplies, equipment, and departmental correspondence.
  • Collaborating on departmental projects as part of a larger administrative team.
Qualifications
  • Minimum of 10 years of experience in Executive Administration support.
  • Bachelor's degree or equivalent educational background.
Preferred Skills
  • Exceptional organizational abilities with a keen eye for detail, capable of managing multiple priorities in a fast-paced environment.
  • Expertise in complex calendar management, meeting organization, and proactive preparation for critical discussions.
  • Ability to maintain composure and effectiveness under pressure.
  • Strong written and verbal communication skills, coupled with a high level of professionalism.
  • Experience in handling sensitive and confidential information with the utmost integrity and discretion.
  • Proven ability to influence and manage conflicts effectively, knowing when to escalate issues appropriately.
  • Experience in onboarding new team members and providing training.
  • Proficient in managing expenses and file organization.
  • Support functions such as office space planning and maintenance of office equipment.
  • Familiarity with Apple Calendar, Apple Mail, Apple Keynote, Quip, Slack, and other office tools is preferred.
