Key Responsibilities

  • Greet visitors and uphold security protocols by adhering to established procedures; maintain the visitor log and issue identification badges.
  • Manage incoming calls and direct them appropriately within the organization.
  • Oversee the maintenance of employee personnel records, including conducting quarterly reviews.
  • Assist in the recruitment and onboarding processes.
  • Support additional office initiatives as necessary.
  • Handle the dispatch of mail/packages and organize the distribution of incoming mail to staff members.
  • Coordinate daily meal orders for the office and meetings in collaboration with external catering services.
  • Regularly procure snacks, coffee, and office supplies.
  • Maintain cleanliness and organization in kitchen and copy areas, including food and supply orders, as well as assisting with lunch setup and breakdown.
  • Take charge of updating and managing the central contacts database and scheduling conference rooms, addressing any conflicts that may arise.
  • Make necessary updates to the company website and social media accounts.

Qualifications

  • A Bachelor's degree is required.
  • Minimum of one year of experience in a receptionist or administrative assistant role, preferably in a fast-paced professional setting.
  • Ability to demonstrate flexibility and professional maturity in understanding priorities and anticipating needs.
  • A positive attitude and a collaborative spirit are essential, along with the ability to work independently.
  • Proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.
  • Excellent written and verbal communication skills are a must.
  • Strong attention to detail and the capability to effectively manage multiple tasks while being open to a variety of responsibilities.
  • Ability to handle sensitive information with confidentiality and discretion.

Compensation

  • Salary range: $60,000 - $65,000
