Position Overview:

The Yale School of Medicine is seeking a dedicated Publications Assistant to join the Department of Exhibitions and Publications. This role is pivotal in supporting the conceptualization, design, editing, and production of various publications, including catalogues and books. The Publications Assistant will report directly to the Head of Publications and will primarily focus on providing essential administrative and logistical support to the department.

Key Responsibilities:

  1. Assist in managing departmental correspondence and maintain organized files.
  2. Coordinate the internal procurement process and respond to inquiries from various departments.
  3. Support the acquisition of images, ensuring compliance with permissions and contractual obligations.
  4. Maintain the image storage system, including labeling and organizing images.
  5. Facilitate daily operations, including scheduling meetings, coordinating travel arrangements, and managing inventory of supplies.
  6. Proofread and edit various materials, including press releases, reports, and manuscripts.
  7. Monitor budget expenditures and assist in preparing financial reports.
  8. Engage with authors, printers, and other stakeholders to ensure smooth communication throughout the publishing process.
  9. Assist in onboarding new staff and student workers in collaboration with HR.

Qualifications:

The ideal candidate will possess a BA/BS degree along with two years of relevant experience in publishing or a related field. Strong attention to detail, exceptional proofreading and editing skills, and proficiency in MS Office and database management are essential.

  • Demonstrated ability to work efficiently under pressure and meet deadlines.
  • Excellent written and verbal communication skills.
  • Ability to manage budgets and reconcile financial statements effectively.
