Job Summary

The Yale Center for British Art is seeking a highly organized and detail-oriented Publications Assistant to provide administrative and logistical support to the Department of Exhibitions and Publications. The successful candidate will be responsible for coordinating the internal procurement process, responding to queries from other departments, and corresponding with external stakeholders.

Key Responsibilities
  • Provide administrative support to the Publications Department, including departmental correspondence, maintaining calendars and departmental files, and greeting visitors.
  • Assist with the acquisition of images, identify image sources, and secure permissions to ensure contractual compliance.
  • Coordinate the internal procurement process, including tracking invoices from contractors and coordinating timely payment.
  • Format and maintain spreadsheets, databases, and other internal reports, and determine sources of data.
  • Perform additional clerical functions incidental to office activities, including greeting visitors, answering and screening phone calls, and responding to requests for information.
Requirements

The ideal candidate will have a BA/BS and two years of related experience in the same job family or in book publishing or related enterprise. The successful candidate will also possess excellent computer skills, including proficiency in MS Office suite and ability to use databases including TMS (The Museum System).
