JOB SUMMARY AND QUALIFICATIONS:

The Accounts Payable Administrator is tasked with overseeing the daily operations of the agency's accounts payable functions.

QUALIFICATIONS FOR THIS ROLE:


• Demonstrated experience with accounts payable software.


• Strong computer proficiency.


• Minimum of two years of experience in accounts payable or a related field.


• Associate's Degree in Accounting or a high school diploma with at least three years of accounts payable experience.


• Effective oral and written communication skills.


• Attention to detail is essential.

RESPONSIBILITIES:


• Manage computerized accounts payable functions for the agency, ensuring accuracy in reviewing payment requests and invoices, obtaining necessary authorizations and documentation, and processing all approved invoices and check requests promptly.


• Organize and maintain an efficient filing system for all corporate vouchers.


• Update and approve separate monthly recurring payable files as necessary.


• Address vendor inquiries related to payables, conducting research through databases or banking institutions as needed, and expedite the retrieval of missing invoices.


• Securely maintain check stock and reorder as necessary.


• Uphold confidentiality regarding all agency payable records.


• Foster positive relationships with vendors.


• Collaborate effectively with relevant VOA staff in the accounts payable function, including investigating invoice statuses and processing payments as requested.


• Open and sort accounts payable mail, directing invoices to the appropriate personnel for approval and organizing invoices that do not require authorization for payment.


• Continuously seek and recommend improvements to enhance efficiency in the accounting and processing of accounts payable.


• Undertake additional projects as assigned.


• Perform Quality Improvement duties as designated by supervision and the PQI committee.


• Ensure compliance with all grant requirements for the SSVF/Honor Program by efficiently managing invoices through the DocLink system, thus maintaining the program's integrity with grantors.
