Accounts Payable Specialist Job Description

Vaco is working with several companies on accounts payable roles.

Position Overview:

The Accounts Payable Specialist/Clerk is responsible for processing invoices, managing vendor payments, and ensuring the accuracy of financial transactions. This role ensures that all payments are made in accordance with company policies and procedures and that transactions are properly documented for accounting purposes.

Key Responsibilities:

Invoice Processing:

• Receive, review, and verify invoices for accuracy and compliance with company policies.

• Match purchase orders to invoices and resolve discrepancies.

• Enter invoices into the accounting system and maintain appropriate records.

Vendor Management:

• Establish and maintain relationships with vendors.

• Respond to vendor inquiries and resolve payment or billing issues.

• Ensure vendors are paid on time, according to terms.

Payment Processing:

• Prepare and process electronic transfers, wire payments, and checks.

• Monitor accounts to ensure timely payments.

• Reconcile vendor statements and correct any discrepancies.

Reconciliation:

• Reconcile the accounts payable ledger to ensure all bills and payments are accounted for.

• Assist with month-end closing by preparing reports and reconciliations.

Expense Management:

• Monitor and process employee expense reports, ensuring adherence to company policies.

• Verify proper coding of expenses and resolve discrepancies.

Compliance and Documentation:

• Maintain confidentiality of organizational information.

• Ensure proper documentation is attached to transactions for auditing purposes.

• Comply with internal controls, accounting policies, and regulatory requirements.

Reporting:

• Assist in generating reports, such as aging reports, for management review.

• Provide support during audits and help gather required documentation.

Requirements:

• 1-3 years of experience in accounts payable or a similar financial role.

• Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle) and Microsoft Office.

• Familiarity with ERP systems is a plus.

• Familiarity with Excel (lookups, pivot tables, etc.)

• Ability to accurately process and verify large volumes of transactions.

• Strong ability to prioritize tasks and meet deadlines.

• Excellent written and verbal communication skills for interacting with vendors and internal stakeholders.

• Ability to identify discrepancies and take corrective actions swiftly.
