Position Summary

The Procurement Operations Manager is responsible for overseeing and aligning the Procurement Department with the strategic goals of the organization.

Key Responsibilities

  • Generate purchase orders and distribute copies to suppliers and relevant departments.
  • Address inquiries from customers and vendors regarding order status, modifications, or cancellations.
  • Engage with suppliers to schedule or expedite deliveries and resolve issues related to shortages or delays.
  • Verify requisition orders for accuracy, terminology, and specifications in collaboration with the sales team.
  • Maintain and review purchasing documentation, reports, and pricing lists.
  • Evaluate prices, specifications, and delivery timelines to identify the most advantageous bids from suppliers.
  • Monitor the progress of requisitions, rebates, and orders.
  • Calculate order costs and process invoices to the appropriate accounts.
  • Cross-check supplier invoices against bids and purchase orders for accuracy.
  • Authorize payments for invoices.
  • Stay informed about state and local regulations affecting procurement and provide guidance to staff and vendors.
  • Assess vendor performance regularly.
  • Review customer specifications from the sales team and collaborate with manufacturers to secure pricing for evaluation.
  • Issue purchase orders for equipment requisitions and update ledger information for tracking purposes. Provide updates to sales and maintenance teams regarding equipment arrival dates on a weekly basis.
  • Maintain ongoing communication with vendors to manage equipment orders, ensuring minimal production downtime and efficient delivery.
  • Act as a liaison with licensing and fleet compliance supervisors to ensure timely arrival of licensing credentials with delivered equipment.
  • Oversee accounts receivable for ordered equipment and collaborate with finance and logistics teams for timely funding.
  • Coordinate with insurance personnel to ensure accurate reporting of vehicle equipment values.
  • Produce and maintain Vehicle Control Numbers (VCNs) with billing and asset departments to ensure correct billing start dates and locations.
  • Work with vendors and National Lease to file for applicable rebates post-delivery of vehicles.
  • Submit service initiation dates for ordered equipment to manufacturers to ensure accurate warranty start dates and communicate with warranty departments regarding any special warranty considerations.

Qualifications

  • High school diploma or GED required; Bachelor's degree preferred.
  • Familiarity with class 3-8 truck and trailer equipment is essential.
  • Proficient in Microsoft Office Suite, particularly Word and Excel.
  • Exceptional organizational skills with a keen attention to detail.
  • Strong verbal and written communication abilities.
