Job Summary

We are seeking a highly organized and detail-oriented Academic Program Coordinator to support the Admissions team at the University of Texas at Austin. The successful candidate will assist with the administration and coordination of medical school admissions processes, ensuring a smooth and efficient experience for applicants.

Key Responsibilities
  • Communicate with applicants and stakeholders through various channels, including email, phone, and social media.
  • Support the processing of applications, ensuring timely and accurate updates to applicant statuses.
  • Develop and maintain a thorough understanding of the application management software to track and manage applicant data efficiently.
  • Collaborate with admissions staff to resolve any issues or delays in the application process.
  • Monitor application metrics and generate reports to provide insights into the efficiency and effectiveness of the workflow.
  • Facilitate interview day processes, including scheduling appointments, preparing correspondence, and coordinating facility space.
  • Conduct external recruitment of prospective medical school students, developing and implementing strategies to attract high-quality candidates.
  • Participate in college fairs, university events, and professional conferences to represent the medical school.
  • Establish and maintain relationships with pre-med advisors, educational institutions, and community organizations.
  • Organize and conduct informational sessions, webinars, and campus tours to engage and inform prospective students.
  • Handle travel requests and reimbursements for staff participating in departmental sanctioned travel.
  • Participate in meetings and foster relationships with campus community and office staff.
  • Support department efforts and assist other staff members as needed.
Requirements

The ideal candidate will possess excellent communication and organizational skills, with the ability to work effectively in a fast-paced environment. A bachelor's degree and relevant experience in higher education or a related field are required.
