Casual, as needed.

Hours may vary between Monday - Friday, from 6am to 6pm, with a likelihood of working specific hours on Wednesdays and other days/times as required.

Key Responsibilities:
  • Welcomes patients and visitors in a timely, courteous, and helpful manner, collects insurance co-payments, and addresses routine inquiries.
  • Manages and organizes the calendar for appointments, meetings, and travel. Coordinates related administrative tasks such as agendas, venue selection, catering choices, audio-visual setups, and document preparation.
  • Books patient appointments and inputs information into the electronic system. Coordinates patient scheduling with other departments or physician offices as necessary.
  • Handles and screens incoming calls, triages clinical inquiries, and resolves issues appropriately.
  • Compiles, duplicates, and releases patient medical records. Collaborates with the Medical Records Department regarding requests for notes and additional information.
  • Generates basic reports, modifies existing reports, and distributes them as required.
  • Sorts and distributes mail and departmental documents efficiently. Operates and maintains office equipment (fax, printer, photocopier, etc.) and may procure office supplies.
  • Completes referrals, tracks and follows up on re-authorizations, processes patient registrations, and gathers necessary information.
  • May handle billing and reimbursement forms and other departmental records. Maintains logs and reports; performs basic calculations as needed. Assists in gathering, organizing, and compiling data for reports and meetings.
Licensure, Registration, and/or Certification Required:
  • No specific requirements.
Education Required:
  • High School Diploma.
Experience Required:
  • Typically requires one year of experience in scheduling, customer service, and administrative support roles.
Knowledge, Skills & Abilities Required:
  • Ability to manage multiple tasks, route calls, greet patients, and maintain a schedule of appointments and meetings.
  • Proficient in Microsoft Office Suite (Excel, PowerPoint, Access, and Word) or similar software, including data entry and management in databases and spreadsheets.
  • Strong organizational skills and attention to detail.
  • Effective communication skills (both written and verbal), with the ability to build rapport and relate to diverse individuals.
  • Ability to operate standard office equipment.
Physical Requirements and Working Conditions:
  • Ability to sit, walk, stand, bend, and lift frequently throughout the workday.
  • Must be able to occasionally lift items weighing up to 20 lbs.
  • Must possess functional speech, vision, and hearing.
  • Operates all necessary equipment to perform job duties.
  • Works in a standard office environment.
