Job Overview

We are seeking a meticulous and highly organized Procurement Specialist to support our expanding operations at RIOS. This role will act as the primary contact for all project-related procurement requests and will guide our design and finance teams in the acquisition of furniture, fixtures, and equipment (FF&E).

Key Responsibilities:
  • Act as a liaison among vendors, subcontractors, and internal teams to secure approvals for estimated costs while adhering to budget constraints, and to establish schedules for payment, delivery, installation, and other logistical needs.
  • Develop and maintain daily working relationships with suppliers, effectively managing shifting priorities and addressing escalations.
  • Collaborate with Studio Directors to monitor and enhance project profitability.
  • Oversee task management for team members to ensure efficient workflow.
  • Engage directly with clients regarding proposals, deposits, and invoicing matters.
  • Create tracking reports for project managers to evaluate team efficiency and project progress.
  • Process and place purchase orders, verifying order confirmations against purchase orders to ensure accuracy.
  • Expedite purchase orders to guarantee timely receipt of items for installations.
  • Coordinate with the warehouse to confirm delivery and receipt of items.
  • Follow up with vendors to arrange replacements for any damaged items upon arrival.
  • Work with installation teams, designers, and clients to schedule installations, providing assistance during the process as needed.
  • Reconcile credit card and bank statements to maintain accurate financial records.
  • Source vendors, issue requests for proposals (RFPs), and negotiate pricing for various projects. Manage and track all purchase orders, invoices, and client payments.
  • Negotiate non-disclosure agreements, teaming agreements, licensing agreements, and other terms and conditions.
Qualifications:
  • A minimum of 8 years of relevant experience in a procurement or accounting role, with at least 4 years focused on purchasing, preferably within an interior design, hospitality, or manufacturing environment.
  • Proficient understanding of accounting principles, sales tax regulations, and general ledger reconciliations.
  • Exceptional written and verbal communication skills.
  • Strong organizational abilities to coordinate and track purchase requests, received orders, and deliveries.
  • Advanced proficiency in Microsoft Office, particularly Excel; experience with Deltek or similar ERP systems is preferred.
