Bookkeeper / Office Manger at Atlantic Marine

About the Role

We are seeking a highly skilled Bookkeeper / Office Manger to join our team at Atlantic Marine. As a key member of our operations department, you will be responsible for overseeing daily financial transactions, managing accounts payable and receivable, and maintaining accurate records.

About You

To succeed in this role, you will need to have a strong understanding of accounting principles and practices, as well as excellent analytical and problem-solving skills. You should also be highly organized and able to prioritize multiple tasks effectively.

Responsibilities
  • Daily processing of cash receipts - cash, checks, and credit cards
  • Daily online banking review
  • Daily processing of accounts payable invoices
  • Process daily cash activity and customer deposit reports to General Manager & CFO
  • Process and track all payments via credit card
  • Process and track boat sale payments
  • Book boat sales when final
  • Process sales team's individual commission accounts
  • Maintain and keep track of all floor plan invoices
  • Paying off floor plan when full payment is received
  • Work with sales manager on boat inventory
  • Build ordered boats into Winboats and Boats On Order report
  • Update cost of boats in Winboats as invoices are received
  • Transfer boats from "Ordered" to "Inventory" as boats are received
  • Weekly reconciliation of Ordered and Inventory Boats
  • Weekly reconciliation of Floor Plans
  • Weekly reports to Sales Team
  • Work with finance manager on trailer inventory
  • Build trailers into Winboats when invoiced
  • Paying trailer invoices according to terms
  • Process payment to vendors according to payment terms
  • Process weekly reports to General Manager and CFO
  • Maintaining personnel and payroll files
  • Process weekly payroll
  • Ordering office supplies as needed
  • Filing Co-Op claims as need for boat shows and merchandise
  • Processing monthly bank reconciliations
  • Processing and filing monthly sales tax and solid waste payments to FDOR
  • Processing monthly credit card payments
  • Processing monthly floor plan interest and curtailment payments
  • Processing quarterly estimated tax payments
  • Maintaining information for year-end tax return preparation
  • Filing and distributing year-end W-2 forms to employees
  • Processing and filing year-end 1099 forms for independent contractors
  • Working with CPA to process year-end tax returns
  • Maintaining supporting schedules for major balance sheet accounts
  • Coordinating and setting up annual health insurance signup
  • Working with CFO to renew and keep track of annual insurance package
