Job Overview:
The E-Billing Coordinator is essential in ensuring precise and effective electronic billing operations within the firm. This role encompasses managing all facets of the e-billing cycle, from initiation to finalization.

The ideal candidate will cultivate and sustain professional relationships with attorneys, clients, and other team members to guarantee adherence to billing standards set by attorneys and clients.


The E-Billing Coordinator will oversee the maintenance and processing of electronic invoices through various e-billing platforms, including the E-Billing Hub and client-selected vendors.

Responsibilities include budgeting, transaction validation, accrual loading, bill transfer, and documentation.

Moreover, the role requires compliance with e-billing format specifications, such as Uniform Task Based Management Systems (UTBMS) code sets and LEDES formatting, as mandated by clients.

Key Responsibilities:
  • Establish and maintain professional relationships with attorneys, clients, and staff to ensure adherence to billing standards.
  • Manage and process electronic invoices through the E-Billing Hub or client-selected e-billing vendors, including budgeting, transaction validation, accrual loading, bill transfer, and documentation.
  • Ensure compliance with e-billing format specifications (UTBMS code sets, LEDES formatting, etc.) as required by clients.
  • Handle all transactions related to requests for pro forma, bill modifications, and invoices, including narrative adjustments, time/cost transfers, hour and value modifications, unbilled write-offs, rate revelations, and division entries.
  • Proactively monitor and resolve e-billing issues and rejections.
  • Maintain special client rate tables and billing formats as requested by attorneys.
  • Review and process unbilled write-offs.
  • Assist attorneys and administrative staff with e-billing inquiries, reports, or client-related issues.
  • Support in preparing weekly and monthly e-billing reports and pro formas as necessary.
  • Assist the Billing Manager and/or Billing Supervisor with special projects and reporting as required.
Required Qualifications:
  • Experience with electronic billing submission through various e-billing platforms.
  • High school diploma; some college coursework preferred.
  • A minimum of 2 years of billing experience in a professional services environment.

Essential Skills:
  • Proficient in computer skills, including:
  • Excel (formatting worksheets, creating formulas, sorting data).
  • Client billing applications via Internet or file transfer methods.
  • Microsoft Office products (Outlook, Word).
  • Ability to quickly identify and resolve issues in a timely manner.
  • Understanding of general accounting principles.
  • Excellent communication skills and ability to collaborate with personnel at all levels.
  • Strong attention to detail and accuracy.
Preferred Qualifications:
  • Experience with legal billing software or systems.
  • Knowledge of legal terminology and billing practices.
  • Familiarity with UTBMS and LEDES billing formats.
Education:
High school diploma required; some college coursework preferred.
