Administrative Support Specialist

Position Overview:
This role involves clerical and administrative support tasks of moderate complexity, necessitating the ability to take and transcribe dictation while executing various responsibilities that require independent decision-making within established guidelines.
The incumbent will be responsible for transcribing dictation, performing skilled keyboarding, and managing clerical duties that often involve specialized terminology and various software applications.
Key Responsibilities:
1. Establish and nurture positive relationships with patients, visitors, and colleagues, ensuring professional and courteous interactions.
2. Actively contribute to the Performance and Quality Improvement initiatives within the department, including data collection, analysis, and compliance with risk management protocols.
3. Take and transcribe dictation and meeting notes, utilizing keyboard skills to type and edit a variety of documents, often containing technical terminology.
4. Compose routine correspondence and proofread documents such as letters, memoranda, and reports for accuracy and completeness.
5. Manage incoming messages and mail, schedule appointments, arrange travel, and provide general information as needed.
6. Develop and maintain organized filing systems, preparing records for storage or archiving.
7. Enter and update information in automated systems, creating routine spreadsheets and databases using various software tools.
8. Compile and summarize data or reports from multiple sources in accordance with established procedures.
9. Prepare requisitions for supplies, maintain personnel and payroll records, and manage inventory of equipment and supplies.
10. Review documents for accuracy and compliance with established standards.
11. Operate standard office equipment efficiently.
12. Provide guidance and training to a small team of clerical staff, reviewing their work for accuracy and compliance with instructions.
Qualifications:
- Minimum of two (2) years of experience in clerical or general office support roles.
- Completion of training from a vocational or business school in office management, secretarial science, or a related field.
- High School diploma or GED required; Associate's degree preferred.
- Proficient knowledge of computer information systems and software applications.
- Ability to prepare spreadsheets and reports effectively.
- Demonstrated skill in keyboarding.
