Senior Administrative Coordinator

Position Summary:
Under general oversight, accountable for a range of administrative functions of moderate complexity that necessitate independent decision-making and a solid understanding of relevant protocols.
Key Responsibilities:
Responsibilities may encompass some or all of the following:
• Serve as the Administrative Coordinator for the Executive Leadership Team
• Assist the Human Resources division with various HR-related administrative functions
• Organize all company-wide events (including meetings, luncheons, and team-building activities)
• Oversee community engagement initiatives and lead the Community Outreach and Engagement team
• Process financial reimbursements
• Ensure timely payment of invoices
• Administer the employee identification system
• Oversee the employee recognition program
• Welcome visitors at the entrance, manage their sign-in process, and notify their respective hosts
• Sort incoming mail, assess for necessary actions, and attach relevant documentation before distribution
• Address routine correspondence or draft standard replies for approval and signature
• Collaborate effectively with various departments, teams, and clients
• Manage phone inquiries, respond to common questions, and receive or guide visitors
• Maintain precise and current filing and record-keeping systems
• Arrange appointments and coordinate travel logistics
• Organize group meetings that require travel coordination, meeting room arrangements, catering, and accommodation bookings
• Safeguard confidential records and reports
• Procure office supplies and maintain organized storage areas
• Execute other related tasks as assigned
Qualifications:
Education:
High School Diploma is mandatory
Associate or Bachelor’s Degree is preferred
Experience:
Minimum of 5 years of relevant office experience in a manufacturing environment or proven capability to fulfill the outlined responsibilities
Skills and Competencies:
• Must exhibit strong verbal, written, and interpersonal communication abilities
• Capacity to collaborate effectively with others and contribute as a cooperative team member.
