Key Responsibilities:
- Oversee the status of job files and conduct regular audits to ensure compliance.
- Maintain and update job file work-in-progress (WIP) records.
- Ensure adherence to client specifications and requirements.
- Review and confirm initial documentation from field operations.
- Prepare preliminary estimates for projects.
- Coordinate daily job file activities, including report preparation and backup processes.
- Facilitate internal and external communication effectively.
- Complete and verify job file documentation for final submission and auditing.
- Manage job close-out procedures.
- Assist with additional tasks to support team objectives.
Qualifications:
- A minimum of 2 years of experience in administrative or office roles.
- Experience in the cleaning, restoration, or insurance sectors is preferred.
- Familiarity with estimate writing and job file management is advantageous.
- Exceptional written and verbal communication skills, with a focus on professionalism.
- Ability to maintain composure in high-pressure situations.
- Strong organizational skills and meticulous attention to detail.
- Self-driven and goal-oriented individual.
- Capability to thrive in a fast-paced, collaborative office environment.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel).
- Willingness to learn new software applications, including Xactimate.
- High school diploma or GED required; Associate's or Bachelor's degree preferred.
- Must be able to pass a background check as per applicable laws.
