Job Summary

We are seeking a highly skilled and detail-oriented Graduate Program Administrator to join our team at the University of Texas at Austin. This role will provide comprehensive support to graduate students, faculty, and staff, ensuring a seamless and successful experience for all.

Key Responsibilities
  • Provide expert guidance and support to graduate students, including advising, registration, and program actions.
  • Collaborate with the Associate Director of Graduate Studies and other stakeholders to ensure effective student feedback and evaluation tools.
  • Coordinate Student Language Proficiency Tests and ensure IRB applications are submitted and records are maintained.
  • Support the Course Scheduling Manager and other teams as needed, including course inventory, catalog information, and system management.
  • Design and execute meaningful events, such as the annual awards ceremony, graduation ceremony, and social and wellness activities.
  • Administer non-academic awards and fellowship competitions, and maintain a comprehensive database of program and student records.
  • Represent the program with integrity, expertise, and enthusiasm, providing reliable information and customer service to all stakeholders.
  • Manage admissions and onboarding functions, including queries from prospective students, recruitment, and admissions committee coordination.
  • Serve as an expert on graduate student employment policies and processes, and connect international students to relevant UT resources.
  • Process teaching assistant and graduate research assistant appointments, and coordinate awards cycles and payments.
  • Support the Foreign Language and Area Studies (FLAS) Coordinator and maintain a thorough and accurate database of graduate student funding.

  • Ability to work independently and as part of a team.
  • Proficiency in relevant software and systems, including UT Direct CoLA Awards and UT FRMS Student Awards.
  • Knowledge of graduate student policies and procedures.
