Job Overview

Position Summary:

The Multilingual Medical Office Receptionist/Customer Service Associate serves as the initial point of interaction for patients and the community. This role encompasses a variety of receptionist responsibilities, conducting financial evaluations, and preparing patient documentation.

Supervisory Duties:

None.

Key Responsibilities:

Receptionist/Customer Service Associate I

  1. Handles general receptionist tasks such as welcoming patients, managing phone calls, taking messages, scheduling appointments, and maintaining filing systems.
  2. Evaluates patient fees, processes payments, issues receipts, maintains cash flow, and aids in the upkeep of patient records.
  3. Prepares and organizes patient files and assigns patients to healthcare providers. Ensures that patient demographic and financial data is accurately updated and recorded.
  4. Identifies and confirms patients' insurance coverage or alternative payment sources, ensuring accurate entry into patient records.
  5. Maintains an orderly office environment, including a comprehensive filing system for correspondence, patient records, and inventory management.
  6. Facilitates translation for clinical staff as needed for both verbal and written communications.
  7. Directs patients to appropriate staff for additional financial or resource assistance when required.
  8. Performs additional duties as assigned.

Responsibilities 1-7 are considered essential functions of this position. All other duties are secondary.

Customer Service Associate II

  1. Capable of executing all duties of Customer Service Associate I as outlined above.
  2. Responsible for opening and closing procedures, including managing drawer keys and verifying daily financial transactions.
  3. Understands and determines eligibility for sliding fee scales and applies them accurately.
  4. Initiates sliding fee processes and conducts follow-up calls to patients for necessary financial documentation.
  5. Follows up with patients regarding outstanding sliding fee applications.
  6. Enables patient enrollment in the patient portal.
  7. Performs additional duties as assigned.

Responsibilities 1-6 are considered essential functions of this position. All other duties are secondary.

Qualifications and Skills:

  • Ability to effectively support Midtown Health Center's mission and adhere to its policies and procedures.
  • Capable of establishing and maintaining positive working relationships with patients, colleagues, and the public, demonstrating cultural awareness and sensitivity.
  • Must maintain strict confidentiality of sensitive information in compliance with HIPAA regulations.
  • Ability to adhere to all occupational safety and health standards as mandated by OSHA.
  • Proficient in critical thinking and problem-solving to address clinic needs.
  • Ability to interpret oral and written instructions and follow up appropriately.
  • Ability to work independently as well as collaboratively within a team.
  • Exceptional time management and organizational skills are essential.
  • Willingness to engage in quality improvement initiatives.
  • Active participation in marketing and outreach efforts as requested.
  • Bilingual (English/Spanish) verbal and written communication skills are highly desirable.
  • Proficient in Microsoft Office Suite and database applications.
  • Ability to operate standard office equipment, including computers, printers, copiers, scanners, calculators, fax machines, and telephone systems.
  • Experience managing a multi-line telephone system.
  • General knowledge of medical terminology is required.
  • Ability to learn and utilize electronic health record systems.
  • Understanding of the distinctions between self-pay, insurance, Medicare, workers' compensation, and occupational medicine patients.
  • Excellent customer service skills, including de-escalation techniques.
  • Strong oral and written communication abilities.

Education and Experience:

  • High school diploma or GED preferred.
  • Experience in a medical office environment is preferred.
  • Must possess a valid driver's license and have the ability to use personal transportation for work-related tasks.
