About This Job

We are seeking an Office Administrator to play a pivotal role in ensuring the smooth and efficient operation of our in-person office environment. As a key member of our team, you will be responsible for managing day-to-day administrative tasks, maintaining office organization, and supporting the leadership team.

Key Responsibilities
  • Manage calendars and schedules for the leadership team, ensuring timely meetings and appointments.
  • Handle email correspondence on behalf of the leadership team, ensuring timely follow-ups and responses.
  • Oversee the day-to-day operations of the office, including managing office supplies, coordinating with vendors, and handling facility-related tasks.
  • Greet visitors, manage incoming calls, and ensure a welcoming environment for clients and guests.
  • Organize and maintain office files and records, both physical and digital.
  • Assist in the planning and execution of meetings, company events, and other gatherings.
  • Receive and distribute incoming mail and packages, as well as manage outgoing mail.
  • Provide administrative support to the leadership team and other departments as needed.
  • Liaise with vendors and suppliers to ensure office needs are met.
  • Monitor and track office-related expenses, ensuring they are within budget.
Requirements
  • High school diploma or equivalent required; an associate's or bachelor's degree in Business Administration or a related field is a plus.
  • Minimum of 2 years of experience in an administrative or office management role, preferably in an in-person office environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with scheduling and email management tools.
  • Strong organizational and multitasking abilities with the capacity to prioritize and handle multiple projects simultaneously.
  • Excellent verbal and written communication skills, with the ability to interact professionally with employees at all levels and external clients.
