Virginia Oncology Associates is seeking a highly skilled Patient Services Coordinator to support our offices in Suffolk. This role is responsible for providing exceptional patient care and administrative support in a fast-paced medical environment.

Key Responsibilities:

  • Greets patients and visitors in a prompt, courteous, and professional manner, checking them in and informing clinical staff of their arrival.
  • Provides and explains necessary paperwork for patients to complete prior to examination, collecting, proofing, and filing patient forms, and updating demographics and insurance information in the system.
  • Answers, screens, and responds to routine questions, routes to appropriate personnel, or takes thorough messages, communicating messages in an accurate and timely manner according to procedures.
  • Checks patients out after examination, schedules returning appointments in accordance with physician and/or office guidelines, and provides patients with appointment details such as time, location, directions, instruction sheets, and other details.
  • Records patient cancellations and missed appointments, reschedules appointments, and notifies appropriate staff of the cancellation and makes note in patient chart.
  • Provides general administrative support by filing charts and forms, maintaining the lobby area in a neat and orderly manner, and maintaining a legible supply of forms and appropriate office supplies required for daily activities.
  • Adheres to confidentiality, state, federal, and HIPAA laws and guidelines with regards to patient records.

Requirements:

  • Receptionist or office experience preferred.
  • 3 years of medical office experience with scheduling background in a busy practice strongly preferred.
  • Proficiency with computer systems and Microsoft (Outlook, Office Word, and Excel) required.
  • High school diploma or equivalent.
  • Must be willing to travel to other office locations if needed.
