Position Overview

The Operations Team Coordinator plays a crucial role in ensuring the smooth functioning of operational processes within the organization. This position requires a proactive individual who can manage various administrative tasks while supporting the overall objectives of the team.

Key Responsibilities
  • Manage the Certificate of Insurance (COI) process and collaborate effectively with the insurance provider alongside the national accounts team.
  • Support the field operations team in preparing for on-site meetings by gathering Key Performance Indicators (KPIs) and financial information.
  • Compile financial data for peer performance evaluations on a quarterly basis.
  • Assist in the preparation of franchise renewal, transfer, and closure documentation, ensuring timely distribution as directed by management.
  • Convert Letters of Understanding (LOUs) into Adobe format and facilitate the signature process.
  • Handle incoming phone inquiries professionally.
  • Contribute to the planning and organization of regional workshops.
  • Provide backup support to the business office administrator when necessary.
  • Undertake additional responsibilities as assigned to support team objectives.
Qualifications
  • A motivated, organized, and goal-oriented individual with a strong work ethic.
  • Demonstrated experience in office management, administrative roles, or customer service with a commitment to excellence.
  • Proficient in computer applications, including Microsoft Office and Google Suite, with a solid understanding of internet tools.
  • Familiarity with Adobe and QuickBooks is advantageous.
  • Excellent communication skills, both written and verbal, with a focus on customer service.
  • Detail-oriented and responsive, with a strong process-oriented mindset.
  • Able to thrive in a fast-paced environment and adapt to changing priorities while maintaining high-quality work.
  • Ability to work collaboratively in a team setting as well as independently.
  • A high school diploma or equivalent is required; some college education is preferred.
