Key Responsibilities:
  • Execute administrative and program tasks as directed by healthcare professionals.
  • Organize and maintain medical records, OSHA documentation, and other relevant files in both physical and digital formats.
  • Coordinate schedules for patient examinations and staff assignments.
  • Utilize DEA EHR for various medical administrative functions.
  • Welcome patients upon arrival, ascertain the purpose of their visit, ensure all necessary paperwork is completed, and retrieve medical charts as needed.
  • Assist patients in filling out required forms.
  • Document vaccinations accurately from medical records.
  • Ensure all patient notes are filed correctly by the end of each day.
  • Maintain both emergency and non-emergency medical equipment.
  • Calibrate equipment utilized within the facility.
  • Develop, update, and manage Employee Medical Folders.
  • Collaborate with medical staff to facilitate examinations, schedule tests, and procure necessary supplies.
  • Handle incoming calls to the Health Services Unit, respond to inquiries appropriately, and maintain detailed notes for follow-up.
  • Uphold infection control protocols by ensuring examination rooms are sanitized after each use and that supplies are organized.
  • Document daily patient visits in compliance with HIPAA regulations.
  • Ensure adequate inventory of forms and supplies.
  • Physical requirements include:
    • Ability to walk distances while carrying medical supplies.
    • Assisting with or transferring individuals of varying weights.
    • Lifting up to 30 pounds as necessary.
    • Performing tasks that require bending, reaching, and standing for extended periods.
    • Maintaining effective communication with staff and supervisors.
    • Engaging in professional development to stay updated on industry trends.
Qualifications:
  • Demonstrated experience as a medical administrative assistant.
  • Familiarity with medical record management and filing procedures.
  • Proficient in medical software and Microsoft Office applications.
  • Understanding of healthcare operations and relevant legislation.
  • Strong organizational and multitasking abilities.
  • Excellent communication skills focused on customer service.
  • A high school diploma is required; certification in medical administration is preferred.
Work Environment:
This position is situated in a professional office setting with a generally low to moderate noise level. Standard office equipment such as computers, telephones, and photocopiers will be used regularly. The role primarily involves indoor work, requiring standing, walking, sitting, and the use of hands for various tasks. The workload may necessitate prolonged periods of sitting, and the ability to perform basic math and withstand moderate stress is essential.
