Job Overview

Gilliatte General Contractors, Inc. is seeking a dedicated Project Management Administrative Assistant to offer essential administrative support to our project management team. This role involves collaboration with multiple Project Managers and demands a strong ability to handle various tasks simultaneously. The ideal candidate will demonstrate initiative and sound judgment in prioritizing responsibilities to ensure all assignments are completed efficiently.

Essential Skills:
  • Proficient in Microsoft Office Suite
  • Familiarity with construction submittal processes is advantageous
  • Highly organized and detail-oriented
  • Ability to manage switchboard operations when necessary
  • Exceptional time-management skills with the capability to prioritize effectively
  • Strong work ethic and a proactive attitude
  • Experience with AIA (American Institute of Architects) contracts/software is a plus
  • Excellent verbal and written communication abilities
  • Understanding of the general construction sector
  • Capacity to meet tight deadlines
  • Ability to perform well under pressure
Key Responsibilities:
  • Facilitate and support all phases of the project from initiation to completion
  • Manage the creation, tracking, and distribution of submittals
  • Compile project closeout documentation
  • Assist in the preparation and modification of construction contracts, including owner change orders and related documents as directed by the project management team
  • Draft subcontractor contracts, purchase orders, and change orders
  • Prepare and distribute RFIs to architects, owners, subcontractors, and superintendents
  • Disseminate ASIs to subcontractors and superintendents
  • Input information into the project database
  • Document owner/subcontractor progress meeting minutes
  • Maintain organized job file records
  • Handle incoming telephone calls
  • Perform filing tasks
  • Complete additional tasks as assigned
