Job Summary

The Administrative Staff role is responsible for overseeing General Services tasks and ensuring the effective operation of contracted company services.

Key Responsibilities
  1. Conduct regular inspections of facilities and contracted services to ensure tasks are completed to the highest standards.
  2. Supervise Security operations, including badging, training, and compliance with federal regulations and company policies.
  3. Use discretion to advise and implement changes to security protocols and standard operational procedures.
  4. Oversee the company uniform services program and ensure services meet expectations.
  5. Supervise food services from 3rd-Party suppliers to ensure services meet expectations.
  6. Manage Company Vehicle Administration (CVA) to ensure company vehicle processes are maintained.
  7. Communicate with employees, contractors, and vendors to ensure effective service delivery.
  8. Perform administrative support tasks, including proofreading, data entry, and document preparation.
  9. Review statements of work to ensure contractors are performing services as agreed.
  10. Communicate with external vendors to ensure business requirements are met.
  11. Supervise the activities and deadlines for contracted services.
  12. Review contracts, regulations, and procedural guidelines to ensure comprehension and compliance.
  13. Prepare and review operational reports and schedules to ensure accuracy and efficiency.
  14. Analyze internal processes and recommend procedural or policy changes to improve operations.
  15. Maintain and update filing, inventory, mailing, and database systems.
  16. Operate office machines, including photocopiers, scanners, fax machines, and personal computers.
  17. Compile, copy, sort, and file records of office activities and business transactions.
  18. Transmit information or documents to departments within the Company.
  19. Add new material to file records or create new records as necessary.
  20. Process and prepare memos, correspondence, purchase requests, and other documents.
  21. Review access requests to determine approval based on company policies.
  22. Respond to requests for security assistance or guidance.
  23. Assist with additional duties as assigned.
Requirements

The ideal candidate will possess:

  • An Associate's degree from an accredited Community College or equivalent experience in Security Administration or Corporate Security.
  • Intermediate computer proficiency, including Microsoft Office programs.
  • Experience with SAP or SharePoint is preferred.
  • Previous experience working with 3rd-Party Suppliers and vendors in a corporate environment.
  • Four plus years in recording keeping and data entry.
  • A valid driver's license.
