Job Purpose

The Administrative Staff role is responsible for overseeing General Services tasks and supervising contracted company services. This position requires strong leadership and organizational skills to ensure the smooth operation of various services.

Key Accountabilities
  1. Perform regular inspections of facilities and contracted services to ensure tasks are complete and meet company standards.
  2. Supervise Security operations, including badging, training, and compliance with federal regulations.
  3. Use discretion to advise and implement changes to security protocols and standard operational procedures.
  4. Supervise company uniform services, ensuring 3rd-party suppliers meet expectations.
  5. Oversee food services from 3rd-party suppliers to ensure services meet executed service agreements.
  6. Manage Company Vehicle Administration (CVA) to ensure company vehicle processes are maintained.
  7. Communicate with employees, contractors, and vendors to ensure effective service delivery.
  8. Perform administrative tasks, such as proofreading, data entry, and operating office equipment.
  9. Review statements of work to ensure contractors are performing services as agreed.
  10. Communicate with external vendors to ensure business requirements are met.
  11. Supervise activities and deadlines for contracted services, based on leadership direction and business needs.
  12. Review contracts, regulations, and procedural guidelines to ensure comprehension and compliance.
Duties and Responsibilities
  1. Prepare and review operational reports and schedules to ensure accuracy and efficiency.
  2. Analyze internal processes, recommend, and implement procedural or policy changes to improve operations.
  3. Maintain and update filing, inventory, mailing, and database systems.
  4. Operate office equipment, such as photocopiers, scanners, fax machines, and personal computers.
  5. Compile, copy, sort, and file records of office activities and business transactions.
  6. Transmit information or documents to departments within the company.
  7. Add new material to file records or create new records as necessary.
  8. Process and prepare memos, correspondence, purchase requests, or other documents.
  9. Review access requests to determine approval based on company policies.
  10. Respond to requests for security assistance or guidance, elevating requests to ensure timely response to urgent notifications.
  11. Assist with additional duties as assigned.
  12. Support after-hours response to security operations.
  13. Provide discretionary judgment when reviewing and approving CVA vehicle maintenance and repairs.
Qualifications, Experience, and Skills
  1. Associates degree from an accredited community college or graduate of a certified technical school with five or more years of relative experience in Security Administration or Corporate Security environment.
  2. Intermediate computer proficiency (Microsoft Office programs).
  3. Experience with SAP or SharePoint is preferred.
  4. Previous experience working with 3rd-party suppliers and vendors in a corporate environment.
  5. Four plus years in record-keeping and data entry.
  6. Valid driver's license.
