Core Responsibilities

Property Oversight

  • Manage daily operations of designated properties, including office facilities and associated amenities.
  • Address tenant concerns, maintenance requests, and lease agreements.
  • Ensure properties are maintained to high standards and adhere to local laws.
  • Collaborate with service providers for repair and maintenance tasks.

Financial Management

  • Keep precise financial records for the organization.
  • Handle accounts payable and receivable processes.
  • Generate monthly financial statements and assist in budget development.
  • Conduct routine audits to verify financial integrity and compliance (with assistance from in-house CPA).

Construction Project Support

  • Assist in the planning and execution of construction initiatives.
  • Communicate with contractors, architects, and engineers to ensure project timelines are met.
  • Monitor project schedules and budgets, ensuring compliance with financial parameters.
  • Prepare and disseminate project updates and reports to relevant stakeholders.

Closing Support

  • Help in the preparation of closing documentation and related materials.
  • Ideal candidates should possess experience with title companies and closing procedures.

Special Projects

  • Engage in various special projects as directed by management.
  • Conduct research and analysis to support project objectives.
  • Work collaboratively with team members to formulate and execute project strategies.
  • Track progress and provide regular updates to management.

Administrative Support

  • Oversee daily office functions, including supply management and equipment oversight.
  • Manage administrative tasks such as scheduling, documentation, and correspondence.
  • Coordinate meetings and events, including logistics and preparation of materials.
  • Assist senior management with travel arrangements, presentations, and other administrative responsibilities.

Qualifications

  • Bachelor's degree in business administration, real estate, or a related discipline is preferred.
  • Demonstrated experience in property management, financial oversight, or a comparable role.
  • Strong organizational and multitasking capabilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and property management software.
  • Familiarity with real estate development and construction processes is advantageous.
