This position is a full-time opportunity within the St. Paul, MN office, structured as a contract-to-hire role.
Core Responsibilities
Property Oversight
- Manage daily operations of designated properties, including office facilities and associated amenities.
- Address tenant concerns, maintenance requests, and lease agreements.
- Ensure properties are maintained to high standards and adhere to local laws.
- Collaborate with service providers for repair and maintenance tasks.
Financial Management
- Keep precise financial records for the organization.
- Handle accounts payable and receivable processes.
- Generate monthly financial statements and assist in budget development.
- Conduct routine audits to verify financial integrity and compliance (with assistance from in-house CPA).
Construction Project Support
- Assist in the planning and execution of construction initiatives.
- Communicate with contractors, architects, and engineers to ensure project timelines are met.
- Monitor project schedules and budgets, ensuring compliance with financial parameters.
- Prepare and disseminate project updates and reports to relevant stakeholders.
Closing Support
- Help in the preparation of closing documentation and related materials.
- Ideal candidates should possess experience with title companies and closing procedures.
Special Projects
- Engage in various special projects as directed by management.
- Conduct research and analysis to support project objectives.
- Work collaboratively with team members to formulate and execute project strategies.
- Track progress and provide regular updates to management.
Administrative Support
- Oversee daily office functions, including supply management and equipment oversight.
- Manage administrative tasks such as scheduling, documentation, and correspondence.
- Coordinate meetings and events, including logistics and preparation of materials.
- Assist senior management with travel arrangements, presentations, and other administrative responsibilities.
Qualifications
- Bachelor's degree in business administration, real estate, or a related discipline is preferred.
- Demonstrated experience in property management, financial oversight, or a comparable role.
- Strong organizational and multitasking capabilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and property management software.
- Familiarity with real estate development and construction processes is advantageous.
