Primary Services is seeking a highly skilled Executive Assistant to support the Vice President of the Tax Department. As a key member of the team, you will be responsible for providing administrative support, calendar management, and event coordination.
Key Responsibilities:
- Manage the Vice President's communications, correspondence, and calendar to ensure seamless coordination of meetings and events.
- Coordinate travel arrangements, prepare expense reports, and ensure timely submission for the Vice President and department leaders.
- Organize departmental meetings and events, both on-site and off-site, in collaboration with the management team.
- Act as the office manager, overseeing office supplies, mail distribution, and facility maintenance.
- Facilitate onboarding and offboarding processes for department employees.
- Create and manage IT and maintenance requests, following up on progress to completion.
- Liaise with external departments and companies to ensure efficient departmental operations.
- Assist with budget planning, special projects, and departmental initiatives.
- Maintain confidentiality and adhere to all safety policies and site regulations.
Requirements:
- Bachelor's degree preferred.
- 5+ years of administrative experience, including at least 2 years supporting executives.
- Proficiency in Microsoft Word, Excel, and PowerPoint; SAP experience preferred.
- Experience in event and meeting planning.
- Expertise in calendar management and domestic/international travel arrangements.
- Ability to manage multiple tasks simultaneously with strong prioritization and time management skills.
- Written and verbal communication skills, with the ability to interact in an international environment.
- Capable of maintaining confidentiality and building strong internal relationships.
