Executive Assistant

Key Responsibilities:
- Manage and coordinate the executive's schedule, including arranging meetings, appointments, and travel itineraries.
- Coordinate and schedule meetings with internal and external stakeholders, ensuring seamless communication and collaboration.
- Provide administrative support to the President and CFO, including drafting, reviewing, and sending communications on their behalf.
- Prepare meeting agendas, take minutes, and follow up on action items, ensuring timely and accurate documentation.
- Organize and manage logistics for meetings, including booking rooms and arranging necessary equipment.
- Arrange and coordinate travel plans, including flights, accommodations, and transportation, ensuring a smooth and hassle-free experience.
- Prepare and maintain documents, reports, and presentations, ensuring accuracy and attention to detail.
- Manage sensitive information with discretion and confidentiality, upholding the highest standards of professionalism.
- Assist with general office tasks, such as ordering supplies, managing office equipment, and coordinating office events, as it relates to the office of the President and CFO.
- Support other administrative tasks as needed, demonstrating flexibility and adaptability in a fast-paced environment.
Supports the Board of Directors
- Schedule and set up Board meetings, committee meetings, and manage logistics, ensuring a seamless experience.
- Prepare Board materials, edit and proofread, copy, collate, and distribute, as well as maintain the official Board books.
- Schedule Board and committee meetings and, if required, prepare needed materials.
- Provide documents and information upon request, demonstrating a high level of professionalism and discretion.
- Maintain mailing lists, Board lists, policies, and other Board information, ensuring accuracy and up-to-date records.
- Upload and catalog documents to virtual Board Portal, Boardvantage.
Qualifications:
- Bachelor's degree preferred, or equivalent work experience.
- 3-5 years of experience as an executive assistant or in a similar administrative role supporting C-Suite executives.
- Experience working in a fast-paced environment and managing multiple priorities, with excellent organizational and time management skills.
- Familiarity with Boardvantage, or other online Board management portals, is preferred, but not required.
- Strong written and verbal communication skills, with the ability to handle confidential information with discretion.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to solve problems and demonstrate attention to detail, with a strong work ethic and commitment to excellence.
