Key Responsibilities:
  • Deliver comprehensive administrative assistance to the executive team, including managing schedules, organizing appointments, and coordinating travel arrangements.
  • Facilitate meetings, conferences, and special events by preparing agendas, documenting minutes, and assembling necessary materials.
  • Manage correspondence, phone inquiries, and emails on behalf of executives, ensuring timely and professional responses.
  • Prepare and refine documents, presentations, memos, and reports for both internal and external stakeholders.
  • Oversee the expense reporting and reimbursement processes for executives, collaborating with the accounting team for invoice management.
  • Conduct research and compile information as requested by executives to aid in decision-making and project execution.
  • Uphold confidentiality and manage sensitive information with the utmost discretion and professionalism.
  • Anticipate the needs of executives, proactively addressing potential issues or concerns.
  • Assist in organizing monthly team lunches and annual company events, manage parking logistics, and coordinate in-office meetings with external partners.
  • Support special projects and undertake additional duties as assigned by executives.
  • Occasionally travel locally to complete errands and tasks as needed.
Qualifications:
  • High school diploma or equivalent required.
  • A minimum of 2 years' experience as an executive assistant or in a similar capacity, ideally supporting C-level executives.
  • Bachelor's degree in business administration, communications, or a related field preferred.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Exceptional organizational and time management abilities, with a focus on prioritizing tasks and meeting deadlines.
  • Strong interpersonal skills, capable of engaging effectively with individuals at all organizational levels.
  • Ability to exercise independent judgment, initiative, and discretion in decision-making processes.
  • Proficient in identifying, analyzing, and resolving issues, while promoting continuous improvements in workflow and efficiency.
  • Outstanding written and verbal communication skills, with a keen attention to detail.
  • Ability to maintain professionalism in high-pressure situations, with a commitment to confidentiality.
  • Demonstrated ability to anticipate executive needs and respond promptly to correspondence and follow-up tasks.
  • Strong analytical and research skills, with meticulous attention to detail.
  • Capacity to work independently while delivering high-quality output.
  • Valid driver's license required.
  • This position requires on-site work.
