Job Summary

We are seeking a highly skilled and experienced Executive Assistant to join our team at Insomniac Holdings, LLC. As a key member of our executive team, you will provide administrative support to our senior leaders, ensuring seamless execution of daily operations and strategic initiatives.

Responsibilities
  • Manage complex calendars, schedule meetings, and coordinate logistics for internal and external events
  • Act as a point of contact for internal teams, clients, and external partners, ensuring effective communication and information flow
  • Draft agendas, coordinate preparation of materials, and prepare meeting packets
  • Provide administrative support, including typing correspondence, researching issues, and maintaining confidential files
  • Coordinate travel arrangements, including domestic and international trips
  • Assist with project organization, prioritization, and execution
  • Provide general administrative support and perform diversified duties
Requirements
  • 3-5 years of experience as an executive assistant
  • Proficient use of Microsoft Outlook and Microsoft Office
  • Experience with Concur is an asset
  • Ability to navigate the internet as a communication and research tool
  • Professional level of verbal and written communication skills
  • Strong work ethic, attention to detail, and ability to handle sensitive matters
  • Ability to work independently and within a team
Work Environment

Must be able to tolerate loud noise levels and busy environments on site at our events. May sit for extended periods of time and work in drastic temperature climates onsite at our events. Must be willing to work during evening and weekend hours, as required, to meet deadlines. Must be willing to travel as required both domestically and abroad, if required. Must have a current passport and be able to travel worldwide without restriction.
