As the pioneering sustainability solutions program in aviation, 4AIR aims to tackle the climate impact of the industry through a structured framework that simplifies and verifies the path towards significant aircraft emissions reduction.
KEY RESPONSIBILITIES:
- Travel Coordination: Manage and organize all travel arrangements for the CEO, including flights, lodging, and transportation. Act as a proactive troubleshooter to swiftly resolve any travel-related challenges and provide real-time support during trips.
- Office Administration: Supervise daily office operations to ensure seamless functionality. Responsibilities include organizing executive meetings and coordinating necessary arrangements for the team.
- Executive Assistance: Aid the CEO in maintaining organization and managing critical communications. This involves tracking open items from portfolio company leaders, identifying follow-up tasks, and drafting correspondence for review.
- Communication Management: Facilitate the CEO's responses to customer inquiries and feedback, ensuring timely and appropriate communication. Prepare correspondence on behalf of the CEO for review.
- Portfolio Management Support: Stay informed about developments within portfolio companies, assisting in tracking key deliverables and ensuring the CEO is well-prepared for meetings and engagements.
- Collaboration: Work collaboratively with other Executive Assistants across the portfolio of companies and provide assistance as needed.
- Content Development: Create and curate engaging content for social media platforms, particularly LinkedIn, to enhance brand visibility and audience interaction.
- Industry Research: Proactively gather and present a weekly report on industry activities to keep the CEO informed of new trends and news that may influence decision-making.
- Administrative Support: Assist with the organization and completion of expense reports and other administrative tasks as required.
QUALIFICATIONS:
- Bachelor's degree or equivalent experience.
- Demonstrated experience as an Executive Assistant or in a similar role, ideally within a fast-paced environment.
- Trustworthy individual capable of handling confidential information with discretion.
- Ability to meet deadlines while prioritizing tasks; must exhibit flexibility, a strong work ethic, meticulous attention to detail, and a sense of urgency.
- Exceptional written and verbal communication skills.
- Strong problem-solving abilities with a proactive mindset to anticipate the CEO's needs.
- Capacity to prioritize and manage multiple projects simultaneously.
- A decisive and confident decision-maker.
