Associate Director, Administrative Operations

This position serves as a key member of the University of Pennsylvania's administrative team, providing leadership and support for the department's fiscal operations. The Associate Director, Administrative Operations will be responsible for monitoring financial and administrative policies, reconciliations, accounting, and management of non-sponsored University funds. This role will also oversee compensation and payroll activities, expense reimbursement, purchasing, and regular financial reporting for non-sponsored projects.
The ideal candidate will possess knowledge and experience in academic finance, leadership, and operational effectiveness. They will be able to work cross-functionally in a heavily matrixed environment, manage complexity, and collaborate with internal and external stakeholders. Strong technical skills, particularly in Microsoft Excel and Workday HCM, are also required.
Key Responsibilities- Provide monthly high-level review of all university funding
- Support oversight and management of University financial operations, including monthly close process and review, analysis, and distribution of financial information
- Routinely prepare and distribute financial information for internal administration
- Assist with providing consolidated variance explanations to Senior Leadership
- Work with divisions to ensure and maintain accuracy of financial statements
Bachelor of Science, Bachelor of Arts, and 7 to 10 years of experience or Masters of Science, Masters of Arts, and 5 to 7 or equivalent combination of education and experience is required.
