Job Overview

The New Construction Administrator plays a crucial role in facilitating the initiation of new construction projects. This position is responsible for managing builder job creation, processing schedule requests from Builder Partners, and entering Purchase Orders. The role requires daily collaboration with Sales, Field Operations, and Finance teams, as well as external builders.

Key Responsibilities

The New Construction Administrator will:

  • Oversee essential administrative functions within the organization.
  • Ensure a streamlined and effective workflow through collaborative time management.
  • Act as a liaison between Builders, Field Operations Management, Branch Administrators, and Sales Managers.
  • Support the New Construction department in executing all necessary tasks and processes accurately and promptly.
  • Prepare and complete documentation required for scheduling New Construction projects.
  • Create sites and Build Jobs within Salesforce.
  • Manage the scheduling of New Construction prewires, trims, and activations in Salesforce.
  • Verify permits and arrange inspections as necessary.
  • Assist New Construction Management with reporting duties.
  • Maintain schedules on the Online Builder website and update Salesforce accordingly.
  • Facilitate the management of jobs that are incomplete due to construction delays.
  • Perform additional duties as assigned by Management.

  • Ability to develop and maintain a comprehensive understanding of all policies, procedures, and protocols related to customer accounts, documentation, and reporting.
  • Demonstrated adaptability and willingness to learn and implement new policies and procedures as corporate standards evolve.
  • Professionalism and courtesy in handling inquiries from both internal and external customers.
  • Strong organizational skills and attention to detail.
  • High level of product knowledge, including current features, specifications, promotions, pricing, and discounts.
  • Ability to perform competently and accurately to meet departmental standards while prioritizing the interests of customers and the company.
  • Self-motivated with the initiative to complete tasks accurately within established timelines and standards.
  • Ability to work collaboratively as part of a team and follow directions to achieve goals.
  • Maintain a professional demeanor and represent the company positively.
  • Strong verbal and computer skills.
  • Understanding and alignment with the company's core values, goals, mission, vision, and priorities as established by Management.

Experience Requirements

  • Bachelor's Degree or equivalent experience preferred.
  • 3-5 years of prior administrative experience in a fast-paced environment required.
  • Experience in a new construction office setting is advantageous.
