Job Summary

The University of Southern California is seeking an experienced Administrative Assistant II to support the Office of Academic Affairs within the Suzanne Dworak-Peck School of Social Work. This is a one-year fixed-term appointment with the possibility of extension.

Key Responsibilities
  • Provide administrative support to the Director of Academic Affairs and other staff members, including organizing and expediting work flows, composing business correspondence, and ensuring confidentiality.
  • Coordinate department public relations functions, such as special events, conferences, and seminars, and arrange with vendors for sites, facilities, catering, and guest accommodations.
  • Assist with contracts and grants administration, including monitoring budgets, preparing and submitting reports, and interacting with university contract administrators and funding agency officers.
  • Research and gather data for reports, conduct preliminary analysis, and recommend report content and format.
  • Maintain and modify the school's or department's website, including content, graphical and multimedia displays, and communications.
  • Monitor website consistency, cross-referencing, and compliance with university standards for website content and development.
  • Assist with budget preparation, track and monitor assigned budget expenditures, and provide projections as requested.
  • Screen and prioritize incoming calls and emails, determine what contact or action is required, and respond to inquiries or refer to supervisor as appropriate.
  • Maintain unit or departmental database and related records, enter and/or verify database transactions, and provide technical support and design of enhancements.
  • Provide guidance and direction to staff and/or student workers, schedule, assign, or prioritize workloads, and set appropriate deadlines.
Requirements
  • Bachelor's degree or combined experience/education as substitute for minimum education.
  • 3 years of experience in higher education administration, curriculum design, or curriculum implementation.
  • Preferred qualifications: 4 years of experience or combined experience/education as substitute for preferred education in higher education administration, curriculum design, or curriculum implementation.
  • Preferred skills: graduate social work education management, facility with learning management systems such as Microsoft Office, Google, Canvas, and Zoom.
