Position: Customer Service Assistant

Overview: The Customer Service Assistant plays a crucial role in supporting the Customer Service Representative by managing daily operational tasks effectively.

Key Responsibilities:

  • Accurately input and verify all order details, ensuring completeness and correctness in coding, load numbers, purchase order numbers, and any specific instructions from clients.
  • Schedule pick-up and delivery appointments promptly to enhance equipment utilization and optimize driver routes.
  • Assist in maintaining customer portals, ensuring compliance with EDI standards, and facilitating the timely closure of orders through customer platforms.
  • Support the Area Manager in providing backup and cross-training for the Customer Service team.
  • Perform additional tasks as required.

Main Accountabilities: Manage appointment volumes and maintain effective communication with management.

Core Competencies: Proficiency in Customer Service, Active Listening, Coordination, Service Orientation, Time Management, and Monitoring.

Supervisory Responsibilities: None.

Qualifications:

  • Education: High School Diploma or GED.
  • Experience: A minimum of 2 years in a customer service role is preferred.
  • Language Skills: Proficient in spoken and written English.
  • Reasoning Ability: Capable of resolving moderately complex issues and managing various concrete variables in less standardized situations.
  • Computer Skills: Must possess computer literacy and a willingness to learn company-specific software. Basic knowledge of Microsoft Office is required.
  • Other Skills: Must demonstrate flexibility and adaptability in a fast-paced, high-pressure environment. This position is non-exempt and requires a 40-hour work week with potential overtime.

Physical Demands: The role involves regular sitting, talking, and listening. Frequent use of hands for handling tasks is required, along with occasional walking and reaching. The employee may need to lift or move items weighing up to 10 pounds. Close vision and the ability to adjust focus are necessary.

Work Environment: The office environment is climate-controlled with a moderate noise level.
